🎉 Unlock the Secrets of Email Management! 🗝️⏳
👉 Discover Pro Tips to Tame Your Inbox Chaos and Boost Productivity. 📈✉️
In our fast-paced digital world, where communication happens at the speed of light, mastering the art of email management has become essential. Email management refers to the practice of efficiently organising, prioritising, and responding to the influx of messages that flood our inboxes daily.
Despite the rise of various communication channels, email remains the reigning champion, serving as the go-to medium for professional communication. Far from being dead, email continues to be the most popular and widely adopted means of exchanging information and collaborating with colleagues, clients, and business partners.
However, without effective email management strategies, our inboxes can quickly spiral into overwhelming chaos, hindering productivity and causing valuable messages to get lost in the digital abyss. So, let's dive into the world of email management and unlock the secrets to reclaiming our inbox sanity and boosting our overall efficiency.
Use the three D's approach!
The average person spends about 28 percent of their week on email management. That's more than two hours per day
Tip #1 - Delete it!
When you first dive into your email management time block, go through your inbox and delete everything that is unimportant.
Don’t get distracted by email offers, sales, or coupons – delete everything that is going to waste your time.
If you want to shorten this step for future weeks, start unsubscribing or blocking as many junk emails as you can so you don’t have to keep dealing with them every week.
Tip #2 - Do it!
Start working on all of the tasks that take five minutes or less.
Five minutes is the key here. because you’re in an email time block, your goal is email management, not large projects.
For every five minute task you knock out, you’ve completed an email. whether you delete or folder those, get those emails out of your inbox and out of your way.
Tip #3 - Defer it!
Lastly, you’re going to come across emails that contain tasks, projects, quotes or customer issues that are too big to tackle at that moment (longer than 5 minutes).
When that is the case, you need to defer those emails by flagging them or placing them in a designated folder.
Then, you can circle back to them later and set up specific time blocks to complete those tasks.
Tip #4 - Use Email tools
Whatever problem you have with email, it can be solved using a combination of tools.
Email overload can be a major time drain. Implementing email plugins can help you regain control of your inbox. Consider using tools like SaneBox or Unroll.me to stay on top of those emails and to de-clutter your inbox.
Have your inbox linked to cloud-based CRM (Customer Relationship Management) systems like HubSpot to ensure all key communications are tagged to your customers. This is equally helpful when these CRM's can create automated task follow-ups, automatic replies and can create new contact records (similar to Evernote)..
TURN OFF EMAIL NOTIFICATIONS AND TRY TO LIMIT OPENING YOUR INBOX TO 3-4 TIMES A DAY
IS AN EMAIL REQUIRED? CAN THIS BE RESOLVED QUICKER WITH A PHONE CALL.
KEEP IMPORTANT EMAILS IN FOLDERS, DELETE THE REST
AS THE OLD LEGENDS SAY, ASK… AND ROHAN WILL ANSWER…
Remember, each business is unique, so it's important to assess your specific needs and choose tools and processes that align with your workflows and goals. These tips and processes should serve as a starting point for you to optimise your time management and boost productivity.
